Spend a year-end video budget on one properly scoped shoot day that produces a hero film plus the short cuts you will post all of Q1, with the scope and price in writing first. On a standard 3-week project, a kick-off in the first week of December still delivers before the holidays. Later than that, you are paying for a rush or carrying the invoice into next year.
Sawback Builders used one founder-led brand film this way, as an introduction before the first bid. Our video production company in Calgary page lists every format. Below: how to spend it, a realistic Q4 schedule, cost drivers, which video first, and how to book.
How do you spend a year-end video budget without wasting it?
Spend it on one deliverable list, not on “content”. Pick one shoot day, one hero film and a fixed set of cutdowns, get the scope in writing, and book a production week that lands before your approvers leave for the holidays. Q4 video is wasted in two ways: rushed briefs that produce a video nobody uses, and projects that start in late December and finish in February with the invoice in the wrong year.
Three rules keep a leftover marketing budget productive:
- Buy a shoot day, not a video. One day on site produces a hero film and several short cuts from the same footage. Our standard single project delivers one hero film up to 2 minutes, three vertical social cutdowns, captions and a transcript, and one revision round.
- Lock the brief before the money. Who the video is for, what it must make them do, the three things it must show. Our pre-production planning checklist is the one-page version.
- Check the accounting before the booking. The Canada Revenue Agency’s rule is that you can deduct any reasonable current expense you incur to earn income, in the fiscal period in which the expense was incurred (CRA, Business expenses). Which year the video lands in is a question for your accountant, and it depends on when the work is done and invoiced. If your fiscal year does not end on December 31, the schedule below shifts with it.
The customer-as-hero rule still applies in Q4. A rushed video about you gets scrolled past. A video where your client explains what you fixed for them gets forwarded, and it is also the fastest format to make.
What does a Q4 video schedule look like on a 3-week standard?
A standard Storimatic project takes 3 weeks: week 1 pre-production, week 2 shoot, week 3 post-production and delivery. A testimonial video takes about 2 weeks (14 days). Other services vary by scope. Count back from the day your approver stops answering email and you have the latest kick-off date.
The dates that matter in Alberta are fixed. Remembrance Day (November 11) and Christmas Day (December 25) are general holidays; Boxing Day (December 26) is optional for employers (Alberta general holidays). In practice, sign-offs from owners, legal and accounting slow down from around December 19 and resume in the first full week of January.
Here is the kick-off math for a standard project, assuming approvals come back within two business days.
| Kick-off (free call + brief) | Shoot week | Delivery | Risk |
|---|---|---|---|
| Week of October 19 | Week of October 26 | Week of November 9 | Low. Remembrance Day falls in delivery week; add two days |
| Week of November 2 | Week of November 9 | Week of November 23 | Low. Best window for exteriors before deep winter |
| Week of November 16 | Week of November 23 | Week of December 7 | Low. Leaves time for a second cut before holidays |
| Week of November 30 | Week of December 7 | Week of December 14–18 | Medium. Last comfortable kick-off for delivery in the same year |
| Week of December 7 | Week of December 14 | Week of December 21 | High. Revision round collides with holiday sign-off |
A testimonial compresses the same table to about 14 days, so a kick-off in the week of December 7 still delivers before Christmas if your client can sit for the interview in the second week.
What slows a Q4 project is rarely the crew. It is these three things.
- Permits and airspace. Pre-production covers site orientation, permits and drone airspace clearance. Flights near Calgary International still need authorization before each flight, and winter weather postpones drone days. Postponed flights are rescheduled at no additional cost, but the calendar does not stretch.
- Approvals. Each stage ends with your approval before the next begins. One decision-maker who answers in two days keeps the 3 weeks intact. A committee that reviews on Fridays adds a week.
- People on camera. December calendars fill with year-end work. Book the owner’s and the client’s hour on the day you book the crew.
What drives the cost of a Q4 video, and how do you keep it inside the year?
The price of a Q4 video is driven by the same five things as any other quarter: shoot days, locations, people on camera, the number of cuts, and post-production extras. What changes in Q4 is the premium for compressing the schedule. Below is what moves the number and what keeps it down.
| Driver | Pushes price up when | How to keep it down |
|---|---|---|
| Shoot days | Two sites or two dates instead of one | One site, one day, everyone on camera booked for that day |
| People on camera | Several interviews across departments | One client and one owner tell the story |
| Number of cuts | Each platform wants its own length and format | Agree the cut list at the brief, not after delivery |
| Post-production extras | Motion graphics, second language captions, a custom score | Lower thirds and licensed library music cover most business video |
| Schedule | Kick-off after December 7 with a same-year deadline | Kick-off by the first week of December |
Budgets are moving up, not down. HubSpot’s 2026 State of Marketing survey of more than 1,500 marketers found 79.2% expect at least a slight budget increase in 2026 and 37.1% plan to increase investment in video marketing (HubSpot, 2026 State of Marketing). For a contractor, the Q4 money is a head start on a line item you will fund anyway in January.
We don’t publish prices on this blog because the number depends on the list above. Which video should you make first with leftover budget?
Make the video with the shortest path from shoot to use. For most construction, trades and B2B companies that is a customer testimonial: fastest to produce, and it goes straight into the bid package and the sales deck. If that is done, make the one that must exist before a Q1 deadline: a recruiting cut before spring hiring, or a capability film before the next tender.
Ranked by speed and by how soon the video gets used:
- Customer testimonial. About 2 weeks (14 days) from kick-off. One client, one interview, one site. Every package produces a full-story video of 90–120 seconds; upper packages add a 15–30 second social cut and a sales-enablement cut. Read what moves the number in how much a testimonial video costs.
- Capability or brand film. 3 weeks. The video a bid committee watches to see how you run a site. Sawback Builders used theirs, with both owners and the site supervisor on camera, as an introduction before the first bid.
- Recruiting video. 3 weeks. If apprentice and journeyman hiring opens in Q1, the video must exist in January. Our construction recruiting video strategy covers what to show.
- Progress documentation. Scope varies. Worth starting in Q4 only if the project runs through winter and the footage feeds the owner update or the next bid.
- Training modules. Scope varies. Good when the procedures are already written and approved; poor when the content still has to be agreed.
The wrong first choice is a “year in review” montage. It is about you, and it has no job in January.
Booking a Q4 shoot in Calgary: what to expect
Storimatic Studio is at 118 Waterfront Ct SW, Calgary, AB T2P 1K8, and shoots across Alberta. Calgary shoots carry no travel fee; travel elsewhere in Alberta is quoted up front. Hours are Monday to Friday, 09:00–23:00 Mountain Time, which helps in Q4 because most approvals happen after the site shuts down.
A winter shoot in Calgary changes three things. Exteriors are shorter and colder, so the shot list is tighter and interviews move indoors. Drone days depend on wind and cold: Founder Jared Ho holds an advanced RPAS licence certified by Transport Canada, airspace authorization is arranged before each flight where required, and weather-postponed flights are rescheduled at no additional cost. Site orientation and PPE are handled in pre-production, so the crew does not slow your team on the day.
What the same shoot day does for you in Q1
One Q4 shoot day is the Q1 posting calendar. The hero film goes on the website and into the bid package; the three vertical cutdowns cover January on LinkedIn and Instagram; the transcript becomes a case study page and a proposal paragraph. So the October brief should already list what January needs.
Settle two things before the shoot so the Q1 work is free rather than a second project. Agree the cut list in the scope. Then ask who owns the footage and the project files, and get it in writing; our guide to who owns the footage explains the Canadian default and the clauses to look for. HubSpot’s survey put short-form video at the top of the formats marketers say earn the biggest ROI, at 48.6% (HubSpot, 2026), and short cuts are the cheapest thing a paid shoot day produces.
Year-end video budget: FAQ
Is it too late to produce a video before the end of the year? Not if you kick off by the first week of December. A standard project takes 3 weeks; a testimonial takes about 2 weeks (14 days). After December 7, plan for a January delivery or expect a rush.
Can a video invoiced in December be a current-year expense? Ask your accountant. The CRA’s rule is that a reasonable current expense incurred to earn income is deductible in the fiscal period in which it was incurred, and the timing depends on when the work is done and invoiced.
Should I spend leftover budget on video or on ads? On the asset first. Ads need something to run, and a short cut from a shoot day can carry a January campaign. Storimatic does not buy media.
What is the fastest video to produce in Q4? A customer testimonial: one interview, one site, about 2 weeks (14 days) from kick-off, with a full-story cut and short cuts from the same session.
Does winter weather stop a Calgary shoot? Rarely for ground footage. Drone days can be postponed by wind or cold and are rescheduled at no additional cost.
