01Who we are

Storimatic Studio Ltd. is a video production company registered in Alberta, Canada, operating from 118 Waterfront Ct SW, Calgary, Alberta. We produce video for construction, trades, industrial and commercial businesses.

This policy explains what personal information we collect, why, and what you can do about it. It covers this website and the production work we carry out for clients.

02What we collect

When you use this website

• Anything you type into a contact or enquiry form: your name, email address, phone number, company name and whatever you tell us about your project.
• Your email address if you subscribe to article updates.
• Standard technical information your browser sends: IP address, browser and device type, the pages you visited and the site that referred you.

When we produce video for you

• Business contact details for you and the people we coordinate with on site.
• Names, job titles and signed releases for anyone who appears on camera.
• The footage, audio and photographs captured during production, which may include images of identifiable people.
• Site information you share so we can plan safely: schedules, access arrangements, safety requirements.

We do not collect payment card details on this website. Invoices are handled through your accounting or payment provider, who process that information under their own policies.

03Filming people on site

This is the part of our work with the most direct effect on people's privacy, so it gets its own section.

When we film at a job site, an office, an event or a facility, we may record people who are working, attending or passing through. Before a shoot we agree with the client which areas are in scope and which are not, and we work to the site's own rules on top of ours.

Consent and releases

• Anyone who features in a video, is interviewed, or is clearly identifiable in a way that carries the story signs a release before the footage is used.
• Crew and members of the public who appear incidentally in wide shots are treated as incidental. If someone asks not to be filmed, we do not film them, and if they ask afterwards we remove them from the edit where the footage has not already been published.
• For anyone under 18, we require written consent from a parent or guardian before filming, not afterwards.

Drone and aerial footage

Aerial work is flown under an advanced RPAS licence certified by Transport Canada, with airspace clearance arranged before the shoot. We fly to capture the site we were engaged to film. We do not use altitude to record neighbouring private property, and we do not fly to record individuals.

Withdrawing consent

If you appear in footage we hold and you want it withdrawn, write to {F('[email protected]')} with enough detail to identify the shoot. We will remove you from material we control. Where a video has already been published by a client or on a platform, we will tell you who holds it and support the request, but we cannot unilaterally remove someone else's published content.

04Footage, storage and how long we keep it

Production footage is stored on name your storage: local drives, Google Drive, Frame.io, etc. with access limited to the people working on the project.

• Raw footage is retained for state a period, for example 12 months after delivery, then deleted unless the client has bought the raw files or asked in writing that we keep them.
• Delivered videos and project files are retained for state a period so we can re-edit or re-export on request.
• Signed releases are kept for as long as the footage they cover is in use, because they are the record of consent.

Deletion is permanent. If you need footage kept longer than the periods above, ask before the retention window ends.

05Client confidentiality

We are regularly on sites that are commercially sensitive, and sometimes ones that are legally restricted. Everything we see, film or are told during a project is treated as confidential to the client.

• We sign your NDA where you have one, and we will follow site-specific rules on photography, devices and visitor access.
• We do not share footage, stills or project details with anyone outside the crew working on your project.
• Where a project cannot be shown publicly, it stays out of our portfolio permanently, not just until the embargo lifts.

06Using your project in our portfolio

We would like to show the work. You decide whether we can.

Unless your agreement says otherwise, we take it that finished videos delivered to you may appear in our portfolio, on our social channels and in proposals. If that does not suit, tell us at any point and we will pull it. There is no argument and no notice period.

Raw footage, unpublished cuts and anything covered by an NDA are never used this way.

07Why we use your information

• To reply to an enquiry and prepare a quote.
• To plan, film and deliver the work you have engaged us for.
• To invoice and keep the accounting records Canadian law requires us to keep.
• To send article updates, only if you asked for them.
• To understand which pages of this site people find useful.

We do not sell personal information, and we do not share it with anyone for their own marketing.

08Who we share it with

We use a small number of service providers, and they only receive what they need to do their part:

• Website and hosting: name your host.
• Forms and email: WPForms, and your email provider.
• Analytics: name your analytics tool, which tells us about page traffic, not about individuals.
• Video hosting: YouTube, for videos embedded on this site.
• File delivery and storage: name your cloud storage.
• Accounting: name your accounting software or bookkeeper.

Some of these providers store data outside Canada, most often in the United States. Where that happens the information is subject to the laws of that country, including lawful access by its authorities.

We will also disclose information where Canadian law requires it.

09Cookies and embedded video

This site uses cookies to keep it working and to measure traffic. You can block or delete cookies in your browser; the site will still work, though some things may be less convenient.

Videos on this site do not load until you press play. Until you do, YouTube receives nothing about you from this page. Once a video starts, YouTube sets its own cookies and its policy applies alongside this one.

10Your rights

Under Canadian privacy law, PIPEDA federally and PIPA in Alberta, you can:

• Ask what personal information we hold about you and get a copy of it.
• Ask us to correct anything inaccurate.
• Ask us to delete it, where we are not required to keep it.
• Withdraw consent, including consent to appear in footage, subject to the limits described above.
• Unsubscribe from emails, using the link in any email we send.

Write to [email protected]. We will respond within 30 days, which is the period PIPEDA sets. If you are not satisfied with our answer you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

11How we protect it

Access to footage and client files is limited to the people working on the project. Devices used in production are password protected and encrypted. Files are transferred over encrypted connections.

No system is perfect, and we are not going to claim otherwise. If a breach affects your information in a way that creates a real risk of significant harm, we will tell you and report it as Canadian law requires.

12Children

This website is not directed at children and we do not knowingly collect information from anyone under 18 through it.

Where a production involves filming anyone under 18, we require written consent from a parent or guardian before filming takes place.

13Changes to this policy

We update this policy when our practices change. The date at the top of this page is the date of the current version. Material changes will be flagged on this page rather than made quietly.
